Timecard Deadlines During Holidays/Recess
Note: Highlighted dates are early deadlines
- Week of Nov. 17 - Nov. 23: timecards must be submitted and approved by Noon on Friday, Nov. 22
- Week of Nov. 24 - Nov. 30: timecards must be submitted and approved by Noon on Monday, Dec. 2
- Week of Dec. 15 - Dec. 21: timecards must be submitted and approved by Noon on Friday, Dec. 20
- Week of Dec. 22 - Dec. 28: timecards must be submitted and approved by Noon on Monday, Dec. 30
- Week of Dec. 29 - Jan. 4: timecards must be submitted and approved by Noon on Monday, Jan. 6
How to Complete Timecards During Winter Recess
► Non-Exempt (Biweekly Pay) Staff*
- For Recess days:
- If you did not work on a University-designated Recess day, you must manually enter the Hours Type "Recess" on your timecard.
- If you did work on a University-designated Recess day, there are certain Hours Types that must be used to accurately record the time. Please follow the Recess Scenario Guide to learn how to submit your timecard correctly.
- For University-designated Holidays:
- If you did not work on University-designated Holiday, you must manually enter the Hours Type "Holiday" on your timecard.
- If you did work on a University-designated Holiday, there are certain Hours Types that must be used to accurately record the time. Please follow the Holiday Scenario Guide to learn how to submit your timecard correctly.
The following is an example of how the timecard should be completed in Pitt Worx for non-exempt (biweekly pay) staff* who did not work during the Winter Recess.

Help with Submitting Timecards
- If you are submitting a timecard for the current work week/pay period (that is, the same work week as the day/week that you are accessing Pitt Worx), please refer to this guide.
- If you are submitting a timecard for any work week that is not the current week/pay period that you are accessing Pitt Worx, please refer to this guide.
* Excluding represented employees with current collective bargaining agreements - those employees should refer to the language in their collective bargaining agreements.
► Exempt (Monthly Pay) Staff
Exempt (monthly pay) employees are only required to submit exception timecards for time off. Hours worked do not need to be reported, and a weekly timecard is not required, except for those weeks when exception time off is taken. University holiday and recess time is not considered exception time off and does not need to be reported. Exempt employees that did not work or that do not need to report exception time off during the Winter Recess do not need to submit a timecard.
